Our goal is to provide a managed communication service that allows veterinary organizations to focus on patient care while we manage the planning, writing, production, organization, and delivery of professional communication content.

We believe the best communication solutions are proactive rather than reactive. Our team works continuously to keep your caller experience current, professional, and relevant throughout the year.

We are committed to:

2. Monthly Message-on-Hold Program

Our Monthly Message-on-Hold Program is designed as a fully managed service.

Rather than asking customers to create new scripts every month, Paws Pause manages the planning, writing, production, and delivery of professionally recorded content on your behalf.

Our objective is to reduce the amount of time your team spends managing communication while ensuring your callers receive timely, informative, and engaging messages.

2.1 Monthly Content Planning

Each month, Paws Pause prepares updated communication content based on seasonal topics, educational opportunities, practice information, promotions, and other relevant announcements.

Content is developed using the most current information available to us.

Customers are encouraged to notify us whenever changes occur that should be reflected in future recordings.

2.2 Customer Participation

Customers are not required to review a new script each month.

Our team prepares, edits, and produces all content as part of our managed service.

Customers may request to review any script before production at any time. We are always happy to provide scripts upon request.

2.3 Monthly Updates

Each monthly subscription includes one scheduled content update during each billing cycle.

Our production schedule is designed to provide consistent monthly communication throughout the year.

Additional recordings requested outside the scheduled monthly update may be available for an additional fee.

2.4 Emergency Announcements

We understand that unexpected situations occur.

Temporary closures, weather events, provider availability changes, emergency notices, and similar announcements may require immediate communication.

Whenever reasonably possible, Paws Pause will prioritize emergency requests.

Expedited production may be subject to availability and additional fees depending on the urgency and scope of the request.

2.5 Customer Information

To provide accurate recordings, customers should notify Paws Pause whenever information changes, including:

  • Practice hours

  • Contact information

  • Providers

  • Services

  • Promotions

  • Holiday schedules

  • Temporary closures

  • Other announcements intended for callers

Providing updated information promptly helps ensure recordings remain accurate and relevant.

2.6 If We Don't Hear From You

One of the benefits of our managed service is that your communication program continues even when your team is busy.

If we do not receive updated information before a scheduled production cycle, we may continue using your existing recording or create updated content based on the most recent information available and seasonal communication opportunities.

This helps ensure your callers continue to receive professional and relevant messaging without unnecessary interruptions to your service.

3. One-Time Recordings

Our One-Time Recording service is designed for practices that need a professionally produced message without an ongoing subscription.

Whether you're announcing holiday hours, a new provider, a temporary closure, or a special promotion, we'll create a custom recording tailored to your specific needs.

3.1 What's Included

Each One-Time Recording includes:

  • Custom script writing (if needed).

  • Professional voice recording.

  • Licensed background music.

  • Audio editing and mastering.

  • Delivery in a format compatible with your communication platform.

3.2 Script Development

You may provide a completed script, a general outline, or simply tell us what you'd like to communicate.

If you don't have a script, our team will write one for you based on the information you provide.

3.3 Voice Selection

Customers may choose between our available male and female voice options during checkout.

Voice availability may change over time as we expand our voice library.

3.4 Turnaround Time

Most One-Time Recordings are completed within two to three business days after all required information has been received.

More complex projects, revisions, or periods of unusually high demand may require additional time.

If you have an urgent request, please contact us before placing your order. We'll always do our best to accommodate expedited requests whenever possible.

3.5 Revisions

If Paws Pause makes a production error, we'll correct it at no additional charge.

If you'd like to change the script after production has been completed, we'll gladly help. Depending on the scope of the requested changes, an additional production fee may apply.

4. Turnaround Times

Our production schedules are designed to balance quality, consistency, and responsiveness.

While we strive to complete projects as quickly as possible, actual turnaround times may vary depending on project complexity, customer responsiveness, production volume, holidays, and other operational factors.

4.1 Monthly Message-on-Hold Program

Monthly subscribers are produced according to our scheduled production calendar.

Our team manages production throughout each month to ensure customers receive fresh, relevant content on a consistent basis.

4.2 One-Time Recordings

Most One-Time Recordings are delivered within two to three business days after all required information has been received.

Customers requesting expedited production should contact us before placing their order.

4.3 Enterprise Projects

Turnaround times for enterprise implementations, multi-location deployments, communication consulting, or custom projects are established as part of the project planning process.

Estimated timelines will be communicated before work begins.

4.4 Customer Delays

Production cannot begin until we have received the information reasonably necessary to complete your project.

Delays in providing scripts, approvals, pronunciation guidance, or other requested information may extend the production timeline.

4.5 Business Hours

Production is generally performed during our normal business hours.

Requests received outside business hours, on weekends, or during holidays will be processed on the next business day unless alternative arrangements have been made.

4.6 Delivery Estimates

Any turnaround times published on our Website or communicated by our team are estimates rather than guarantees.

Although we make every reasonable effort to meet expected delivery dates, unforeseen circumstances may occasionally affect production schedules. If a significant delay occurs, we will communicate with you as soon as reasonably possible.

5. Revisions and Corrections

We want every recording we deliver to accurately reflect your practice and meet your expectations.

If something isn't right, we'll work with you to correct it as quickly as possible.

5.1 Production Errors

If Paws Pause introduces an error during script writing, recording, editing, or production, we will correct it at no additional charge.

Examples include incorrect wording, spelling, pronunciation, missing information that was provided to us, or technical issues affecting the quality of the recording.

5.2 Customer-Requested Changes

If you request changes after a recording has been completed, we'll be happy to update it.

Depending on the nature of the request, additional production fees may apply. We'll always let you know in advance if additional charges are required.

5.3 Changes to Practice Information

Practice information changes over time, and we understand that updates are sometimes unavoidable.

Changes such as business hours, provider additions, new services, pricing updates, promotions, or temporary announcements requested after production may require a new recording.

Monthly subscribers receive one scheduled content update during each billing cycle. Additional updates outside the normal production schedule may be available for an additional fee.

5.4 Pronunciations

We make every reasonable effort to correctly pronounce practice names, provider names, medications, cities, and veterinary terminology.

If a pronunciation is unique or uncommon, we encourage customers to provide pronunciation guidance before production begins.

If we mispronounce a word despite receiving correct guidance, we'll correct it at no additional charge.

5.5 Requesting Revisions

To request a revision, simply contact our team with the details of the requested change.

Whenever possible, please include the recording name, the section that needs to be updated, and the desired revision so we can process your request as efficiently as possible.

6. Supported Communication Platforms

Paws Pause is designed to work with a wide variety of business communication systems.

While we continuously expand the platforms we support, certain deployment features may vary depending on your communication provider.

6.1 Automated Deployment

For supported communication platforms, Paws Pause can automatically upload and deploy your recordings as part of our managed service.

Platform support is continually evolving as we add new integrations and deployment capabilities.

6.2 Customer-Managed Uploads

If your communication platform does not currently support automated deployment, we'll provide ready-to-use audio files that your team can upload using your platform's standard procedures.

We're always happy to answer questions and provide guidance during the upload process.

6.3 Supported Audio Formats

Recordings are produced in formats compatible with industry-standard telecommunications platforms.

If your system requires a specific audio format, please let us know before production begins. We'll make reasonable efforts to accommodate your requirements.

6.4 Platform Changes

Communication platforms occasionally update their software, APIs, file requirements, or deployment methods.

Although we make every effort to maintain compatibility with supported platforms, certain changes made by third-party providers may temporarily affect automated deployment or require adjustments to our workflows.

6.5 New Platform Requests

If your organization uses a communication platform that is not currently supported, we'd love to hear about it.

We regularly evaluate new platforms based on customer demand and may add support as our Services continue to grow.

6.6 Enterprise Deployments

Organizations with multiple locations, centralized phone systems, or enterprise communication environments may qualify for additional deployment services.

Our team can work with your organization to develop a deployment strategy that best fits your operational and technical requirements.

7. Customer Responsibilities

Paws Pause is a managed service, but our ability to provide accurate and timely communication depends on receiving current information from our Customers.

Keeping your practice information up to date helps us deliver the best possible experience for your callers.

7.1 Keeping Information Current

Customers are responsible for notifying Paws Pause whenever information changes that may affect their recordings.

This includes, but is not limited to:

  • Practice name

  • Business hours

  • Telephone numbers

  • Website

  • Provider additions or departures

  • Services offered

  • Promotions

  • Holiday schedules

  • Temporary closures

  • Emergency announcements

  • Any other information intended for callers

7.2 Accuracy of Information

Customers are responsible for ensuring that the information provided to Paws Pause is accurate, complete, and authorized for use.

Paws Pause relies on the information provided and cannot verify the accuracy of practice-specific details independently.

7.3 Pronunciation Guidance

If your practice name, provider names, medications, locations, or other terms require a specific pronunciation, we encourage you to provide pronunciation guidance before production begins.

This helps ensure recordings accurately represent your practice.

7.4 Communication

To help us provide timely service, Customers should maintain current contact information and respond to requests for information or clarification when necessary.

Delays in receiving required information may affect production schedules.

7.5 Platform Access

For Customers using our automated deployment services, any credentials or administrative access required to upload recordings should be provided through approved and secure methods.

Customers are responsible for ensuring that they have the necessary permissions to authorize Paws Pause to access their communication platform.

8. Enterprise Services

Paws Pause offers enterprise solutions designed for organizations operating multiple locations or requiring centralized communication management.

Enterprise Services are customized to each organization's operational, technical, and administrative requirements.
